HALO Safaris
Booking Protocol

Terms & Booking Conditions

Transparent contractual conditions governing bespoke journeys, private conservancy reservations, air charter logistics, and conservation permits across East Africa.

Effective: 2026

Contractual Formation & Acceptance

A binding legal contract between the client ("Guest" or "Party Leader") and Halo Safaris Tours & DMC ("Halo Safaris") is established upon our written confirmation of your itinerary and receipt of the designated deposit.

By tendering payment, the client confirms that they possess legal capacity and agree to these Terms & Conditions on behalf of all individuals named in the safari reservation.

Payment Schedules & Deposit Protocol

To secure private safari vehicles, premier wilderness camp suites, domestic aviation charters, and private guides, the following payment schedule applies:

• Initial Deposit: A non-refundable deposit of thirty percent (30%) of the total safari value is required upon itinerary confirmation.

• Peak Season & Exclusive Buyouts: For journeys scheduled during peak migration season (July–October) or festive season (December 15 – January 10), an initial deposit of fifty percent (50%) may be mandated by concession lodges.

• Balance Payment: The remaining balance of seventy percent (70%) is due precisely sixty (60) days prior to your arrival date. Bookings finalized within 60 days of departure require 100% payment upon confirmation.

Mountain Gorilla & Chimpanzee Tracking Permits

Permits for gorilla tracking in Volcanoes National Park (Rwanda) and Bwindi Impenetrable National Park (Uganda) are controlled directly by sovereign conservation boards (Rwanda Development Board and Uganda Wildlife Authority).

Permit fees must be paid 100% upfront upon booking confirmation to secure your date. Once purchased, gorilla and chimpanzee trekking permits are 100% non-refundable and non-transferable under all circumstances.

Conservation Authority Regulation

Permit slots are strictly limited per gorilla family per day to protect endangered primates. Wildlife authority rules dictate that ill travelers (e.g. flu or infectious illness) may be refused entry by park rangers for primate biosecurity.

Cancellations, Alterations & Refund Scale

All cancellation requests must be transmitted in writing by the party leader to safari@halosafaris.com. Cancellation takes effect on the business date received in Nairobi, Kenya.

The following tiered schedule applies to the safari package (excluding non-refundable primate permits and private aircraft buyouts):

• More than 60 days prior to departure: Forfeiture of the 30% initial booking deposit.

• 59 to 31 days prior to departure: 50% cancellation fee of the total expedition cost.

• 30 days or fewer prior to departure: 100% cancellation fee of the total expedition cost.

Emergency Medical & Aero-Evacuation Coverage

Every Halo Safaris overland and aviation safari in Kenya, Tanzania, Rwanda, and Uganda automatically includes AMREF Flying Doctors emergency medical evacuation cover.

In the event of a medical trauma or critical illness in a remote wilderness region, AMREF dispatches an air ambulance with ICU flight doctors to airlift the guest directly to a premier tertiary hospital in Nairobi or Kigali.

Important: AMREF coverage provides aero-medical stabilization and transport only. Comprehensive international travel and private health insurance covering medical treatment and trip disruption is mandatory for all guests.

AMREF Flying Doctors Guarantee

Included automatically with every Halo Safaris booking. Covers 24/7 rapid emergency bush airstrip response and aero-medical airlift across East Africa.

Force Majeure & Operational Adjustments

Halo Safaris is not liable for itinerary modifications, delays, or non-performance resulting from events beyond reasonable operational control, including natural catastrophes, severe weather rendering bush airstrips impassable, unannounced airspace closures, civil disturbances, or changes in wildlife authority directives.

In any such circumstance, our experienced 24/7 operations desk will arrange prompt luxury alternatives of equivalent or superior standard to safeguard traveler comfort and safety.

Passports, Visas & Health Regulations

Travelers are solely responsible for ensuring passport validity extends a minimum of six (6) months beyond the final day of travel, with at least two blank consecutive visa pages per country visited.

All electronic travel authorizations (e.g., Kenya ETA, Tanzania e-Visa, East Africa Tourist Visa) must be procured prior to boarding international flights. Yellow fever immunization certificates are required when crossing certain East African borders.

Governing Law & Dispute Resolution

These Terms and Conditions and any dispute or claim arising out of or in connection with them shall be governed by and construed in accordance with the substantive laws of the Republic of Kenya.

Both parties agree to submit any unresolved controversy to confidential mediation in Nairobi, Kenya, under the rules of the Chartered Institute of Arbitrators (Kenya Branch) prior to any legal proceedings.
